Handout: "How to Use Microsoft Access to Combine Cost and Usage Data for eJournals"

Handout: "How to Use Microsoft Access to Conduct an Overlap Analysis of eJournal Packages"

Increasingly, libraries are expected to provide collection management reports to their funding sources and to demonstrate that their community has quality collections that are managed cost-effectively. Creating meaningful reports can be challenging, since cost information, usage data and other metadata needed to a create reports about the library’s collections may exist in several different library and vendor systems. Since eresources often represent the lion’s share of a library’s collection acquisition budget, this poster session will demonstrate how to use Microsoft Access to create two typical reports required for the acquisition and management of ejournals: an ejournal package title overlap report and a cost per download report.

Although many tend to shy away from Microsoft Access as too difficult to use, this session will provide step-by-step instructions on how to use the visual interface and query wizards of Microsoft Access to run SQL queries to create quick and meaningful reports.

This poster will appeal to librarians involved in eresource budget management and collection assessment who want to conduct overlap analyses and cost per use studies, but cannot afford to subscribe to the tools available from library software vendors.
